How to Use These TallyPrime Shortcut Keys
1. Ctrl + E: Export TallyPrime Reports to Excel
Use Ctrl + E to export the current voucher or report in TallyPrime. Reports such as Sales Register, Purchase Register and Ledger can be exported to Excel or PDF.
To export a report:
- Open the required report.
- Press Ctrl + E.
- Press C (Configure) to review the export settings.
- Choose Excel (Spreadsheet) under File Format.
- Check the file name and destination folder.
- Press E (Export) to export the report.
The report will be saved in the selected folder.
For other export options, press Alt + E to open the main Export menu. The available settings may vary for certain statutory reports.
2. Alt + D: Delete a Voucher or Ledger
A voucher entered twice can be removed using Alt + D. Open the duplicate voucher in alteration mode, press Alt + D and confirm the deletion.
The same shortcut can be used to delete an eligible ledger or master from its alteration screen.
A ledger cannot be deleted if it has existing transactions or is used in other configurations. Predefined ledgers, such as Cash and Profit & Loss A/c, also cannot be deleted.
Before deleting a voucher linked to an e-Invoice or e-Way Bill, check the applicable cancellation requirements.
3. Ctrl + F3: Shut a Company in TallyPrime
Accountants handling multiple companies can use Ctrl + F3 to shut a company after completing their work.
The company closes from the current TallyPrime session, but its accounting data remains available. You can open it again whenever required.
Shutting a company is different from deleting it. Make sure any pending entries are saved before closing the company.
4. Alt + C: Create a Ledger During Voucher Entry
While recording a voucher, you may find that the required customer or supplier ledger has not been created.
Press Alt + C from the ledger selection field to open the Ledger Creation screen. Enter the necessary details, save the ledger and continue with the voucher.
Alt + C can also be used to create stock items, groups and other masters from the relevant selection fields.
Another function: Pressing Alt + C from an applicable Amount field opens the calculator. The result depends on the field you're working in.
5. F8, F9, F5 and F6: Common Voucher Shortcuts
These four keys are used for regular accounting transactions.
- F8 (Sales Voucher): Record sales of goods or services.
- F9 (Purchase Voucher): Enter purchases from suppliers.
- F5 (Payment Voucher): Record office expenses, supplier payments and other payments.
- F6 (Receipt Voucher): Record money received from customers or other parties.
Press the relevant function key from the voucher-entry screen to open or switch to that voucher type.
For instance, a sales invoice is recorded using F8, while the payment received from that customer can be entered through F6.
6. F2: Change Voucher Date
Press F2 to change the date while entering a voucher.
If an invoice is dated 10 October but the voucher shows 15 October, use F2 to enter the required transaction date.
F2 is also available in reports for changing the report date or period.
7. Ctrl + P and Ctrl + A: Print and Save
Ctrl + P (Print)
Use Ctrl + P to print the current voucher or report. You can review the print settings and preview the document before printing an invoice or accounting report.
Ctrl + A (Save)
Ctrl + A accepts or saves a completed voucher or master.
Before saving a transaction, check the ledger, amount, date and applicable tax details.
8. Alt + G: Access Reports Using Go To
Press Alt + G to open the Go To menu. From here, you can access reports, create vouchers and work with masters.
To view transactions for a particular ledger, follow this path:
Alt + G > Ledger Vouchers > Select the required ledger
Go To also provides access to Balance Sheet, Profit & Loss A/c, Day Book and other reports.
9. Alt + 2: Duplicate an Existing Voucher
When recording a transaction similar to an earlier entry, Alt + 2 lets you duplicate the existing voucher.
It can be used for entries such as monthly rent or other recurring expenses where some details remain the same.
To duplicate a voucher:
- Open Day Book or another report containing the transaction.
- Select the voucher.
- Press Alt + 2.
- Change the date, amount, narration or other details as needed.
- Review and save the new voucher.
The duplicated voucher carries details from the original entry. Before saving, check the date, invoice number, ledger, amount and bill-wise references, wherever applicable.
10. Ctrl + Enter: Alter a Ledger During Voucher Entry
Use Ctrl + Enter to alter an existing master while entering a voucher or drilling down through a report.
For example, if a customer's address needs updating while recording a sales invoice, select the customer ledger and press Ctrl + Enter.
Make the required changes in the Ledger Alteration screen, save them and continue with the voucher.
The two shortcuts serve different purposes:
- Alt + C: Create a new ledger.
- Ctrl + Enter: Alter an existing ledger.
11. Ctrl + F: Filter Transactions in Reports
When a report contains a large number of entries, Ctrl + F helps you view transactions that match selected conditions.
For example, you can filter a Sales Register to check entries matching a particular amount or other available criteria.
To filter a report:
- Open the required report.
- Press Ctrl + F.
- Select the field and condition.
- Enter the required value.
- Apply the filter.
TallyPrime displays the report based on the selected filter conditions. Some reports may still show default or related rows.
Version Note: Ctrl + F is used for filtering in TallyPrime 3.0 and later. In TallyPrime 2.1 and earlier, the shortcut was Alt + F12.
